REPORTS TO: Volunteer Coordinator Operations Director of Operations
Primary Objective:
In furtherance of the Mission of WARM, the primary responsibility of this position is to recruit, train, and manage volunteers while ensuring a positive and engaging experience for all who serve. The Volunteer Coordinator will implement structured programs that align volunteer efforts with WARM’s organizational needs, ensuring that volunteers are well-prepared, supported, and retained to maximize their impact. Nature and Scope: This position reports to the Dir of Operations and regularly interacts with volunteers, WARM staff, community groups, corporate partners, and faith-based organizations to coordinate and manage volunteer programs. The role requires strong relationship-building skills to engage and support volunteers while maintaining accurate records of service hours and project completion. This is a part-time hourly position, working 20 hours per week with flexible scheduling based on volunteer engagement needs. Hours may occasionally extend into evenings or weekends for special events or high-priority projects.
Essential Responsibilities:
Volunteer Recruitment, Training & Retention
•Develop and implement volunteer recruitment strategies to attract a diverse and committedvolunteer base.
•Oversee the screening, onboarding, and placement of volunteers to ensure alignment withorganizational needs.
•Conduct volunteer orientations, facility tours, and training sessions to prepare volunteersfor their roles.
•Maintain and update volunteer job descriptions and standard operating procedures (SOPs)for various roles.
•Serve as the primary point of contact for volunteers, providing ongoing communication,guidance, and support.
Volunteer Program Management & Coordination
•Manage and maintain the volunteer database, ensuring accurate tracking of hours, servicehistory, and reporting metrics.
•Work closely with staff to identify and match volunteers with appropriate serviceopportunities.
•Monitor volunteer engagement and provide feedback to enhance retention and satisfaction.
•Plan and execute volunteer appreciation and recognition events, such as awards, socialgatherings, and milestone acknowledgments.
Collaboration & Community Engagement
•Build and maintain relationships with community groups, corporate partners, and faith-based organizations to expand volunteer participation.
•Coordinate with other WARM departments to ensure volunteers effectively supportoperations and events.
•Represent WARM at community events and volunteer fairs to promote engagementopportunities.
Administrative & General Responsibilities
•Maintain organized volunteer records, documentation, and reports.
•Assist in developing communications and marketing materials for volunteer recruitmentand recognition.
•Perform other duties as assigned by the Executive Director to support WARM’s overallmission and operational success.
Qualifications:
•Experience in volunteer management, nonprofit coordination, or HR-related fields(preferred but not required).
•Strong organizational and communication skills with the ability to multitask effectively.
•Proficiency in database management, reporting, and volunteer scheduling systems.
•Ability to build positive relationships with volunteers, staff, and community partners.
•Customer service-oriented, collaborative mindset with excellent problem-solving skills.
This position is classified as part-time, and your employment with WARM is at-will, which means that either you or WARM may end the employment relationship at any time, with or without notice or cause. To be considered, you must pass a background check.
